    Position Summary 

    In this vital role, the SCSBC Executive Administrative Assistant provides administrative support for the Executive Director, the Associate Executive Director, the SCSBC Board and its committees, as well as providing administrative assistance to the Directors of Learning, International Education, Finance, and Advancement.

     

    Key Responsibilities 

    • Executive Support
      • Manage calendars, schedule meetings, and coordinate travel arrangements for executives
      • Prepare and edit correspondence, reports, and presentations
      • Assist in prioritizing and managing multiple projects and deadlines
    • Communication and Coordination 
      • Act as the primary liaison between the executive team and internal/external stakeholders
      • Screen and respond to emails, phone calls, and other communications
      • Facilitate effective communication across departments to ensure smooth workflow
    • Meeting and Event Management
      • Organize and schedule internal and external meetings, including preparing agendas, taking minutes, and following up on action items
      • Assist in planning and executing organizational events, workshops, and conferences
    • Administrative Support
      • Maintain and organize filing systems, both electronic and physical
      • Process expense reports, invoices, and other administrative documents
      • Conduct research and compile data to support executive decision-making
    • Project Coordination
      • Assist with special projects and initiatives related to education programs and advocacy efforts
      • Track project progress and ensure timely delivery of key milestones
    • Office Management
      • Oversee day-to-day office operations to ensure an efficient working environment
      • Liaise with vendors and service providers as needed
      • Collaborate with bookkeeper on invoicing service subscriptions 

     

    Qualifications 

    • Education & Experience
      • Bachelor’s degree in business administration or communications or a related field preferred
      • Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role
      • Experience working within a not-for-profit or educational environment is a plus
    • Skills & Competencies
      • Exceptional organizational and time management skills
      • Strong verbal and written communication abilities
      • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools
      • Ability to handle sensitive information with discretion and professionalism
      • Strong problem-solving skills and attention to detail
      • Proven ability to multitask, prioritize, and meet deadlines in a fast-paced environment

    Work Commitment 

    The successful candidate will be employed between 50-100% depending on qualifications, availability, and ability to work in a shared position.
